For real estate portals, broker-tech products, developer sales platforms and property management tools, DPDP readiness starts long before a buyer signs an agreement. It begins with a search filter, a saved shortlist, a site-visit form, a callback request, a WhatsApp handoff, an agent assignment, a KYC upload or a rental verification check. Those records often move quickly between the platform, developer, broker, call centre, payment vendor and document team. If the data trail is not governed, the customer experience may look smooth while the compliance record frays quietly in the background.

What to review

Review each personal data touchpoint in the buyer, seller, tenant and agent journey. Lead forms, wishlists, enquiry logs, call recordings, chat transcripts, visit schedules, identity documents, booking forms, payment confirmations, allotment papers, complaint records and broker dashboards should each have a purpose, owner and retention rule. A property platform should also distinguish public listing information from personal data about users, prospects, agents and complainants.

Marketing is usually the hardest area. A user who asks about one apartment should not automatically become a reusable lead for every project, channel partner or campaign in the database. Check whether consent, suppression and deletion preferences flow into outbound diallers, email tools, WhatsApp campaigns, broker exports and remarketing audiences. If a developer or broker receives leads, the platform should know what instruction travelled with the data.

RERA-facing transparency does not remove DPDP duties. Project registration numbers, approved plans and advertised details serve a different purpose from privacy notices, security controls and rights handling. The two regimes should reinforce each other: accurate project information for buyers, and disciplined handling of buyer and agent personal data behind the scenes.

Implementation steps

Build a data map around real journeys: search, enquiry, callback, site visit, booking, document upload, payment, complaint and post-sale servicing. For each journey, record which system holds the data, who can export it, which partner receives it and when the record should be deleted or archived. Pay special attention to spreadsheets downloaded by sales teams; they are often the ungoverned copy that survives every platform cleanup.

Update notices where users actually act. Search pages, enquiry forms, visit booking screens, app flows and call-centre scripts should explain the practical uses of personal data. If leads will be shared with a developer, broker or financing partner, say so clearly and store that notice version with the lead record. Optional marketing should be separated from transaction follow-up.

Set processor and partner controls. Call centres, CRM tools, cloud hosting, analytics services, payment vendors, document verification providers and broker networks need written instructions on permitted use, access control, breach escalation, deletion and onward sharing. For high-volume lead exports, use expiry, audit logs and recipient-level controls instead of open-ended CSV circulation.

Design a rights workflow that the business can answer. Correction may involve a phone number, email address, saved preference, KYC document or booking detail. Erasure may need exceptions for transaction, accounting, legal or dispute records. The response should be accurate, timely and consistent across platform support, developer handoffs and broker records.

  • Treating every enquiry as permanent marketing inventory, even after the original property interest has ended.
  • Exporting lead lists to brokers or developers without recipient instructions, expiry dates or deletion confirmation.
  • Cleaning the platform database while old spreadsheets, call-centre tools and chat exports continue to hold the same data.
